Freight quoting software for small and mid-sized forwarders

FQS is freight quoting software for small and mid-sized freight forwarders that build quotes from carrier-rate spreadsheets and send bare totals by email or WhatsApp. It reads carrier rate sheets, builds branded quotes for FCL, LCL and air freight, tracks every quote to won or lost, and tells you which quotes and which clients need a follow-up.

Who is FQS for?

FQS is for forwarders whose quote desk runs on spreadsheets, inboxes and memory.

You may recognize the desk:

  • Carrier rates arrive as Excel files, PDFs and email bodies, and live in a dozen folders.
  • Quotes are built in a spreadsheet and sent as one total in an email or a WhatsApp message.
  • Nobody can say how many quotes are open this month, what share were won, or why the others were lost.
  • Follow-ups depend on someone remembering. A quote expires quietly, and a good client goes three months without hearing from you.

FQS is built around that desk: the rates, the quote, and what happens after the quote is sent.

How is FQS different from a full forwarding system?

FQS covers the quote desk, not the whole shipment. It does not replace your operations, customs or accounting system, and it does not need you to migrate one.

A full forwarding system connects booking, documents, customs, billing and accounting in one record. That is the right answer when the whole operation needs replacing. When the real problem is rates in spreadsheets, quotes sent as bare totals and no follow-up, it is a large, slow answer to a narrow problem.

FQS starts where the work starts: a carrier rate comes in, a quote goes out, and someone needs to know what happened to it. If you are deciding between a focused quoting system and a broader forwarding platform, see our guide: What are the best CargoWise alternatives for a small freight forwarder?

How does FQS tell you who to follow up?

FQS has Signals: a short list of the quotes and clients that need you, and it stays out of your way until you open it. There are no pop-ups, alerts or reminder emails.

On the dashboard, Signals is one collapsed line, such as "14 signals: 9 expired, 1 aging quote, 4 inactive clients". Open it when you have time, and it groups what needs attention:

  • Quotes expiring or already expired. Each one has a Won and a Lost button, so you record the outcome in one click. A lost quote asks for the reason: price, competitor, service, transit, relationship, no response or cancelled.
  • Drafts that were never sent. A quote built a week ago and forgotten shows up here.
  • Clients gone quiet. Clients you have not quoted in 60 days, with how long it has been. This is the follow-up most desks never make.

FQS never marks a quote lost on its own. A signal clears when you record what happened.

The history works for you when you quote again. If you lost a lane with a client before, the quote screen tells you when, at what price and for what reason, before you send the next number.

What can you see about your quotes that a spreadsheet can't show?

FQS shows your pipeline and win rate from the moment you start quoting, because every quote ends as won, lost or still pending.

The dashboard shows four numbers:

  • Total quotes, finalized and pending
  • Won, as revenue
  • Pipeline, the value of quotes still pending
  • Win rate, won against won plus lost

Reports go further for managers. Pick a quarter and see quotes, won, lost, pending, win rate, won revenue and margin, broken down by lane, by office and by salesperson. A separate count shows quotes that are past their validity with no outcome recorded, so open quotes do not hide in the pipeline.

Every lost quote carries its reason, so the next time you quote that client on that lane, you know what lost it last time.

How does FQS handle carrier rate sheets?

FQS reads carrier rate sheets from Excel, PDF and email, and shows you every extracted rate to check before anything is saved.

  • Upload the file as it arrived. Excel (.xlsx, .xls), CSV, PDF up to 30 pages, saved emails (.eml) and plain text.
  • Review before saving. Each rate is shown with its lane, equipment, charges and validity. Nothing reaches your rate store until you confirm it.
  • It learns from your answers. When you tell FQS what a carrier's charge code means, or confirm a port spelling, the next sheet from that carrier does not ask again.
  • Every rate keeps its expiry. The Rate Desk shows each rate's valid-until date and marks rates that are expiring or expired. Expired rates stay in the archive. When you quote, FQS warns you about a rate outside its validity and stops offering a lane's rates once all of them have expired.
  • The file does not stay. The uploaded document is deleted as soon as the extraction finishes. The rates you confirm are what FQS keeps.

Rates can also be entered by hand. On an FCL quote, you pick a stored rate for the lane and its charges come in as cost lines, with your margin on top.

What else does FQS do?

The rest of FQS covers the quote itself, your team, security and getting started.

Quotes

  • FCL, LCL and air freight quotes, with cargo details, chargeable weight and special cargo: dangerous goods, non-stackable and temperature-controlled.
  • Charge lines with cost, margin and sell price, in any currency. The exchange rate is fixed when the quote is saved, so a sent price does not drift.
  • A branded PDF for the customer with your logo, colors and terms and conditions. It shows sell prices only, never your cost or margin.
  • A finalized quote is locked. A change creates a new numbered version, and every version is kept.
  • Duplicating a quote re-checks its rates and leaves out any that have expired.
  • A client directory with each client's quote history.
  • An Excel export of all quotes for your own analysis.

Team and security

  • Roles for company admins, office admins and users, across multiple offices.
  • Each person sees the quotes their role and office allow.
  • Two-step sign-in.
  • Each company's data is kept separate from every other company's at the database level.

Getting started

A guided setup takes you through your logo, quote design, colors, quote validity by mode, office details and terms and conditions. Then you invite your team and start quoting.

What does FQS not do yet?

FQS is a quoting system, and some things are outside it today:

  • Sending quotes from inside FQS. You download the quote PDF and send it by email or WhatsApp yourself.
  • Market rate data. FQS works from the carrier rates you upload or enter, not from a market rate feed.
  • Rate sheets as images. Screenshots and photos of rate sheets cannot be read yet.
  • Picking stored rates on LCL and air quotes. Stored rates attach to FCL quotes; LCL and air charges are entered on the quote.
  • Operations, customs and accounting. Bookings, documents and invoicing stay in the systems you use today.

How much does FQS cost?

FQS is USD 99 per month, including the first user, plus USD 29 per month for each additional user. Every feature is included for every user, with no quote limits. That price applies in the United States, Canada, Western Europe and Australia; other regions are quoted individually. See pricing.

FQS is set up with you rather than self-serve, so the first step is a conversation. Talk to us.

Frequently asked questions

Does FQS replace CargoWise or Magaya?

No. FQS covers quoting: rates, quotes and follow-up. Your operations and accounting stay where they are.

Can I keep receiving rates in Excel and PDF?

Yes. Upload the file as the carrier sent it, check the extracted rates, and save them.

Does FQS keep my carriers' rate files?

No. The uploaded file is deleted as soon as the extraction finishes. FQS keeps only the rates you confirm.

Does FQS work for air freight and LCL?

Yes. FQS creates FCL, LCL, and air freight quotes. FCL quotes can use stored carrier rates; LCL and air freight charges are entered directly on the quote today.

Can my customers see my cost or margin?

No. The customer PDF shows sell prices only.

How does FQS remind me to follow up?

Signals lists quotes that are expiring or expired, drafts never sent and clients you have not quoted in 60 days. It stays collapsed on your dashboard until you open it.
